Associate Director Job Description

Salary: $65,000+
Hours: 5-days a week, 8-hours a day

Asian American Organizing Project (AAOP) is a non-partisan organization led by and for young Asian Minnesotans in the Twin Cities. Through our grassroots organizing efforts and programming, we aim to develop young Asian community leaders to resist oppression and co-create a more just future for their families, schools, communities, and cities.

AAOP is seeking a full-time Associate Director who is responsible for the development and implementation of internal practices and systems and working closely with the Executive Director to shape and lead the organization’s strategy. The Associate Director leads and administers human resources, provides day-to-day leadership across the organization, assists with financial management, manages strategic initiatives and special projects, and represents the organization externally. The Associate Director is a key leader within and outside of AAOP to support others in reaching their goals.

As a note, this position will require that the Associate Director is onsite, with the possibility of some remote work. However, the organization is also in the process of evaluating work to be 100% onsite. The Associate Director will have a huge responsibility to define what this will look like with the leadership team.

Human Resources Management and Employee Relations

  • Lead and administer the organization’s human resources, including compensation, benefits, and leave; job descriptions; performance evaluation; motivation, recognition, and retention; disputes, investigations, and disciplinary process; occupational health and safety; training and ongoing professional development.
  • Oversee policies and procedures related to recruiting, interviewing, reference and background checks, and hiring and onboarding process.
  • Manage the organization’s compliance with federal, state, and local employment laws and regulations. Review and modify policies and practices to maintain compliance and ensure alignment with organization’s commitment to equity.
  • Counsel the Executive Director and managers on supervision, mentorship, coaching, performance evaluation and professional development of their direct reports, including employees, interns, program leaders and volunteers.
  • Develop long-term strategies for staffing to meet the organization’s goals and strategies.

Risk Management

  • Identify and evaluate the risks to the organization’s people (clients, staff, management, volunteers), property, finances, goodwill, and image and implement measures to control risks.
  • Ensure that the Board of Directors and the organization carries appropriate and adequate insurance coverage and that the board and staff understand the terms, conditions and limitations of the insurance coverage – including Workers’ Compensation, Unemployment, General Liability, Directors and Officers, and other insurance to protect the asset and liability of the organization including all renewals
  • Manage the safety and security of the building
  • Ensure that the IT infrastructure are protected
  • Ensure all business licenses and any and all registrations are completed timely and annually, when necessary
  • Submit any and all reports to the state when necessary
  • Any and all risk management tasks that need to be completed

Organizational Leadership

  • Develop deep familiarity with all programs and services to advise and coach senior employees in developing and strengthening design, content, engagement, policies, procedures, and practices of offerings.
  • Provide day-to-day leadership support for employees, interns, program leaders and volunteers; create meeting agendas and facilitate all-staff meetings; send all-staff memos, reminders, and announcements as needed.
  • Serve as an advisor to the Executive Director and accurately represent the Executive Director’s position when serving as a delegate in meetings with internal and external constituencies.

Financial Management

  • Co-lead the annual budgeting process with the Executive Director to prepare a budget for the review and approval of the board of directors.
  • Work with senior employees to create program budgets, offering coaching and guidance, and ensuring compliance with grant and funding requirements.
  • Ensure all employees are adhering to fiscal policies, procedures and controls.

Strategic Initiatives and Special Projects

  • Research and analyze issues impacting the organization and potential partnerships, funding opportunities, media contacts and other initiatives that advance the organization’s mission.
  • Prepare briefings or presentations to communicate findings and recommendations to the Executive Director and other staff.
  • Lead special projects and initiatives as needed, providing cross-functional supervision to employees who have assignments that support special projects.

Other

  • Attend and participate in monthly board and board committee meetings, serving as an advisor to board members and ensuring board decisions align with the organization’s mission and objectives.
  • Partner with the Executive Director, Board Chair and Board Vice-Chair to recruit, interview, screen, and onboard new board members.
  • Represent AAOP externally, including speaking at public events, meetings, and with the media.

Required Qualifications

  • At least 2 years of experience in human resources, strategic planning, project management, financial management, employee supervision and development, and leading strategic initiatives.
  • Knowledge of and commitment to social and racial justice personally and professionally.
  • Excellent interpersonal, team building, and problem-solving skills.
  • Ability to work independently and exercise sound judgment, taking ownership, and initiative with minimal direction.
  • Strong organizational and communication skills (written and verbal) including ability to articulate progress, concerns, and recommendations in a concise and timely manner.
  • Ability to prioritize, negotiate, and work with a variety of internal and external stakeholders from a diversity of backgrounds.
    Some evenings and weekends required to meet programming needs.
    Availability and ability to travel statewide and nationally, including occasional overnight and multi-day travel.
    Must have a vehicle to transport people and supplies with a valid driver’s license.

Preferred Qualifications

  • An advanced degree in an associated field
    • Experience supporting a senior level executive and providing guidance to other senior staff.
    • Experience leading diversity, equity and inclusion initiatives and/or trainings.
    • Experience working with boards of directors.
    • Ability to work on a small, collaborative team or in a small nonprofit organization.
    • Knowledge or experience in community organizing, nonprofits, and public policy.
